The onboarding and offboarding process for employees has changed dramatically as industries have seen technology advance, and many have moved to cloud systems.
If onboarding and offboarding are not appropriately done, businesses risk security issues and potential asset loss, which is why having a set procedure and accompanying systems is a high priority.
Your IT team, HR team, managers, and new team members all have a role to play in your organisation's tech. Get their input to create an onboarding and offboarding procedure that helps everyone.
Things to think about:
- How will you ensure the onboarding and offboarding process is followed? What system is in place to support this?
- Who is responsible for completing onboarding and offboarding? Do they have the access they need to the systems being used?
- How long will the onboarding and offboarding process take, i.e., bringing back equipment from current employees, wiping securely, removing licences and preparing to go out to new employees?
- Who has what assets?
- What will your password management strategy be to ensure passwords can be changed in a timely manner?
Cybercriminals across the globe continue to exploit vulnerabilities and access sensitive information. Your IT department should have prevention at the forefront of IT policies to ensure that breaches like this are not a possibility.
Onboarding employees
Clearly defined Standard Operation Procedures (SOPs) ensure new employees can swiftly integrate into your organisation. Ensure these procedures cover all the needs of a new employee and that the whole team knows they must be followed.
SOPs also provide a comprehensive understanding of common challenges with processes and systems and their solutions, preparing employees for potential issues they may encounter. An SOP also ensures compliance with regulations and standards.
Employee training
What training is in place to ensure new employees are trained in cybersecurity awareness - and what deadline is given for this to be completed after their start date?
Are your systems integrated with the HR systems, or do there need to be manual actions?
It is important to utilise available training that may be available via HR systems or IT systems - EPX clients with a support contract have access to a suite of training which includes cyber security.
Alternatively, ensure you have a full cyber security training programme - often provided by your MSP - to bring them up to date with potential cyber security dangers and risks and train them on the latest and best practices.
Offboarding employees
When an employee is leaving, there is a need to complete the offboarding process quickly - but it needs to be completed properly…
Among other tasks, you will need to:
- Suspend their email account
- Reset all passwords for shared accounts
- Remove the employee from communication systems
- Remove access to cloud storage platforms
- Remove intranet access
- Suspend any software licences connected to their equipment
- Reclaim company-provided hardware, including phones
- Reclaim access keys
- Reset access codes
Essential processes
Onboarding and offboarding are essential processes - especially when there are many employees.
